1. Understanding Accommodations
Accommodations are adjustments that allow students with documented disabilities to demonstrate their learning on an even footing. Common examples include:
- Extended time or alternate formats for exams
- Quiet room for tests or quizzes
- Live scribing notetaking software
- Access to assistive technology (e.g., screen readers, speech-to-text)
All accommodation approved through Accessibility Services following a confidential review of documentation.
2. Your Role as an Instructor
- Maintain confidentiality. Only discuss accommodations with the students and Accessibility staff.
- Provide approved adjustments. Once you receive the list of Accommodation students, implement each item by the start of term.
- Communicate proactively. If an accommodation is unclear, please reach out to us before or early in the term.
- Keep the student on track. Share course materials in advance and provide assignment outlines upon request.
- Please upload any tests at least three (3) business days before the testing date using the link sent in the Accommodation Letter
3. Accommodation Letters & Implementation
- Information about accommodations will be emailed to your university address before the term starts, after the add/drop date, and before final exams.
- They list each student’s approved accommodations—for example:
- Instructor Delivered: course materials in advance, live scribe software
- Exam Accommodations: 1.5× time, quiet room, use of a computer
4. Booking & Proctoring Exams
- We will proctor all accommodated tests for you!
- Student books via the Accommodated Testing Request Form at least 7 days before their exam.
- Student Success Centre Assistant confirms date, time, location, and any special set-up.
- You receive notification of any changes—please remind students to upload materials (e.g., exam files) early.
5. Accessibility Best Practices
- Course materials: Share slides, readings, and captions in advance.
- Assessments: Offer clear instructions in writing and examples or rubrics.
- Communication: Use inclusive language on your syllabus and in class.
- Canvas/LMS: Ensure all files are accessible (PDFs tagged, images have alt text).
6. Troubleshooting & Support
- If you can’t accommodate an item, or need guidance on technology, contact us immediately.
- We offer faculty consultations on accessible design, captioning, and universal course practices.
